This policy explains how FileMy.Email handles personal data across two things: our website at filemy.email, and the Outlook add-in ("the Add-in") that saves your emails and attachments to SharePoint or OneDrive. The two are very different in what they touch, so we describe them separately below.
FileMy.Email is operated by Practical Software Solutions LLC ("we", "us", "our"), a company based in the United States. For any privacy question, or to exercise your rights, contact us at [email protected].
For visitors and customers in the UK or European Economic Area (EEA), we act as the data controller for personal data collected through our website, and as a data processor acting on your organization's instructions for the limited data the Add-in handles on your behalf.
When you visit our website, we use Google Analytics 4 and Google Tag Manager to understand how the site is used (which pages are visited, how visitors arrive, and general usage trends). This involves data such as your IP address, device and browser type, approximate location (derived from IP), pages viewed, and referring website. This data is collected through cookies (see the table below) and is processed by Google on our behalf.
When you purchase a subscription, checkout is handled by Stripe. You enter your payment details directly with Stripe — we never see or store your full card number. Stripe processes your name, email, billing details, and payment information to complete the transaction and to prevent fraud. See Stripe's privacy policy at stripe.com/privacy.
If you email us, we receive your email address and whatever you include in your message, and we keep that correspondence so we can help you and maintain a support record.
A cookie is a small file stored on your device. We show a notice about cookies when you first visit. The cookies and similar technologies on our website are:

You can block or delete cookies through your browser settings, and you can opt out of Google Analytics using Google's opt-out browser add-on. Blocking strictly necessary cookies may affect checkout.
Where UK GDPR or EU GDPR applies, we rely on: your consent and our legitimate interest in understanding and improving our website for analytics; the performance of a contract with you to process your purchase; and our legitimate interest in security and fraud prevention for Stripe's necessary cookies.
The Add-in is designed to keep your email data private. It reads only what it needs to file a message, and it does not route your email content through our servers.
When you choose to save an email, the Add-in reads the following metadata from the selected message:
This is used solely to suggest a destination folder and to name the saved file according to your preferences.
This data is stored within your Microsoft 365 environment and is associated with your account.
When you save an email or attachment, the file is transferred directly from Outlook to your SharePoint site or OneDrive over encrypted connections. Your email content and files are not sent to, routed through, or stored on FileMy.Email servers. The Add-in does not share your email content with any analytics provider or advertising network.
The Add-in uses your organization's existing Microsoft 365 authentication (OAuth 2.0). We do not handle, see, or store your password.
We do not sell your personal information. We share data only with the service providers needed to run FileMy.Email:
We may also disclose information if required by law or to protect our rights.
We are based in the United States, and our service providers (including Google and Stripe) process data in the United States and other countries. If you are in the UK or EEA, your personal data will be transferred to the United States. Where required, these transfers rely on appropriate safeguards such as the EU–US and UK Data Privacy Framework and/or Standard Contractual Clauses (with the UK Addendum / IDTA) put in place by these providers.
We keep website analytics data for up to 26 months, payment records for as long as required for tax and accounting law, and support correspondence for as long as needed to assist you. Add-in preferences are kept in your Microsoft 365 environment until you remove them or uninstall the Add-in.
UK / EEA residents (GDPR / UK GDPR). You have the right to access, correct, delete, restrict, or object to our processing of your personal data, to data portability, and to withdraw consent at any time. To exercise these rights, contact us at [email protected]. You also have the right to lodge a complaint with your local data protection authority — in the UK, the Information Commissioner's Office (ico.org.uk).
California residents (CCPA/CPRA). You have the right to know what personal information we collect, to request deletion, to correct it, and to opt out of the "sale" or "sharing" of personal information. All data travels over secure, encrypted (HTTPS/TLS) connections. The Add-in relies on Microsoft 365 OAuth and never stores your password. No method of transmission or storage is 100% secure, but we take reasonable measures to protect your information.
FileMy.Email is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 16.
If we update this policy, we will revise the "Last updated" date above and, where appropriate, notify you. Continued use of the website or the Add-in after changes constitutes acceptance of the updated policy.
